Key Questions All Event Planners Should Ask AV Technicians

A practical checklist of AV questions that helps event planners avoid technical surprises.

Technology is everywhere now — at home, in the office, and in every corner of daily life. But just because AV gear is common does not mean most people feel comfortable making technical decisions for an event.

After spending time online reading event-planning forums and public discussions, one thing becomes clear: many planners know what they want an event to feel like, but they are not always sure what questions to ask about the technical side. That is completely normal. Good AV support should make that process easier.

If you are planning an event, here are several useful questions to bring to your AV team:

  1. What equipment do we actually need for this kind of event?
    Start by asking what is essential and what is optional. This helps avoid both over-ordering and under-preparing.

  2. Will the room support the setup we have in mind?
    Venue size, ceiling height, access to power, lighting conditions, and audience layout all affect the right AV plan.

  3. How will audio coverage work for the full audience?
    A room may seem straightforward until speech is hard to hear in the back or coverage is uneven across the space.

  4. What do presenters need to know in advance?
    File formats, laptop connections, slide aspect ratios, microphone choices, and rehearsal time all matter.

  5. What happens if something changes at the last minute?
    Events always shift. It helps to know how flexible the AV plan is and who is available to troubleshoot quickly.

  6. Will someone be on-site to run the equipment?
    In some cases a simple rental is enough. In others, a technician is the difference between a smooth program and an avoidable mess.

  7. How do streaming, recording, or remote presenters change the plan?
    Hybrid and remote components introduce additional technical considerations that should be discussed early.

  8. What is the setup and teardown schedule?
    Timing affects access, staffing, rehearsals, and how much buffer exists before guests arrive.

The point is not to know every technical answer yourself. The point is to ask the right questions early enough that the event can be designed well.
